The basics

What is knowledge management software?

It is a platform that helps an organization capture, store, find, and share what it collectively knows. Reports, studies, competitive analysis, customer research, strategy documents, recorded sessions, and the institutional context that usually lives in three people's heads. Sharpr is purpose-built for this: one secure system covering your knowledge base, search, and stakeholder engagement.

What is an enterprise knowledge base?

A centralized, secure place where an organization stores and organizes its knowledge so teams can use it. The word "enterprise" is doing real work there. It means permissions, SSO, audit trails, and the ability to run different environments for different business units without buying different systems. Sharpr combines that with intelligent search and distribution tools, so people find and use what the knowledge base holds.

What is Sharpr in one sentence?

Sharpr gives enterprise teams one secure place to capture content, surface actionable insights, and keep stakeholders informed.

Who is Sharpr for?

Organizations where institutional knowledge is scattered across tools, inboxes, and people, and where that scattering has started to cost money. We see the strongest fit in Fortune 1000 companies, large agencies, and consulting firms, particularly in financial services, entertainment, consumer goods, healthcare, and manufacturing. Inside those companies, Sharpr is usually owned by insights, market research, competitive intelligence, strategy, or the office of the CEO, and used by a far wider group.

Is this for one team or the whole company?

Both, and usually in that order. Most customers start with the team that owns research, get that hub working, and expand outward. Pricing is user-based with enterprise options, so you can add teams when you are ready rather than committing the whole company on day one.

How it works

What content can we put in it?

Documents, decks, PDFs, spreadsheets, images, videos, transcripts, syndicated reports, and web content. If your research team produces it, Sharpr indexes it. Video and transcripts matter more than people expect, because those are the formats that most often vanish.

How does content get in?

Four ways. Direct upload for day to day work. Bulk migration for everything you already own, which we handle for you. Sharp It, our browser tool, for one-click capture of anything you find on the web. And integrations with the systems you already run, including SharePoint, Box, Dropbox, Confluence, Slack, Microsoft Teams, ServiceNow, and Salesforce, plus the Sharpr API for anything custom.

Do we have to tag everything ourselves?

No, and this is where most knowledge projects die. Content uploaded to Sharpr automatically receives a headline, a concise summary, and tags without anyone doing manual work. Your team can override any of it and add the human insight that machines cannot supply, which is the part worth their time. Curation becomes a light weekly habit instead of a full time job.

What are hubs?

Permissioned knowledge environments. One organization might run a corporate hub, a hub for a specific business unit, a hub for a project team, and a hub shared with an agency partner. Role-based access runs down to individual pieces of content, so material appropriate for an internal pricing discussion does not appear in a partner environment. It is how you serve several audiences without maintaining several systems.

What is the push and pull model?

Pull is search. Somebody has a question, they come looking, and they find the answer. That serves researchers, analysts, and strategists, who are maybe twenty percent of the people who need your knowledge.

Push is everything else. Auto-generated briefs, scheduled newsletters, and topic alerts that land in an inbox without anyone logging in. That serves executives, marketers, sales leaders, and everybody else whose habits are not going to change because you bought software.

Building only the pull side is the single most common reason knowledge platforms fail. We built both.

How is the search different from what we have now?

Most search tools match your words against filenames and body text and hand you a list. Sharpr's GenAI search is built to return findings. You can ask what your organization knows about a segment, a competitor, or a price point, and get a synthesized answer with the underlying sources attached, across PDFs, decks, videos, and syndicated reports at the same time.

AI questions

What does the AI do here?

Three jobs. It writes headlines and summaries for incoming content. It generates tags so material is connected and findable without manual taxonomy work. And it powers search and the auto-generated briefs, so a question returns an answer rather than a reading list.

Does our content train anybody's model?

No. Your content is yours, it stays logically isolated from other customers' data, and it is not used to train public models. Bring your security team to the conversation and we will go through it in detail.

What happens when the AI gets something wrong?

Answers link back to sources, which means a person can check the work in one click. We designed it that way deliberately. A confident summary with no traceable origin is worse than no summary at all, especially in regulated industries where somebody will eventually ask where a number came from.

Adoption

We bought a platform like this before and nobody used it. Why would this be different?

The previous system probably required people to change their behavior in order to get value. Sharpr does not assume that. The push side delivers insight to people who will never search, the UX is built for people who use the tool twice a month rather than daily, and views can be tailored per audience so a marketer is not staring at a researcher's interface.

We also measure it. Engagement analytics tell you who is reading what, which means adoption is a number you manage rather than a feeling you have.

Do executives need to log in?

No. That is the point of briefs and newsletters. Plenty of senior stakeholders get real value from Sharpr without ever opening it.

How do we know it is working?

Analytics on content usage, by person, by team, and over time. Most customers watch three things: whether the push audience is opening what they receive, whether search volume is growing, and which topics get searched repeatedly with thin content behind them. That third one is a direct signal about what to commission next.

Security and IT

What certifications do you have?

GDPR compliance, ISO 27001 compliance, SOC 2 aligned cloud infrastructure, and enterprise data processing agreements.

What about authentication and provisioning?

SSO with ADFS, Okta, or SAML 2.0, SSO with Google Workspace, custom SSO through the Sharpr API, and configurable password policies. User management includes SCIM 2.0 provisioning with Okta, Azure AD, and others, role-based access across hubs and individual content, and bulk import, lifecycle, and offboarding workflows so access ends when employment does.

How is our data protected?

AES-256 encryption at rest, TLS 1.3 in transit, logical tenant isolation, encrypted backups, and protected key material. On the infrastructure side: advanced DDoS protection, redundant servers, regular backups, annual disaster recovery testing, and 24/7 monitoring with incident response.

Will you survive our third party risk review?

We do several a quarter, often for banks and insurers, which are the least forgiving reviewers in the business. Send us the questionnaire early and we will work through it with you.

Getting started

What happens to the library we already have?

We migrate it at no cost. Data, structure, users, permissions, and archives. Whatever you are on today, whether that is SharePoint, a legacy insights portal, Box, Google Drive, or a decade of server folders. We organize content as it lands so your launch week is useful rather than a cleanup exercise.

How long does implementation take?

Most customers follow a similar arc. Month one is migration and training. Month two is when push starts working: the newsletter goes on a schedule, alerts get tuned, and people stop emailing each other PDFs. By month three the behavior change shows up in the analytics.

Who trains our people?

Your dedicated customer experience manager, with sessions built for each of your groups rather than one generic walkthrough. They stay involved through launch and after it.

Pricing and value

How does pricing work?

Scalable, user-based pricing with enterprise options. You can expand to new teams whenever you are ready.

How do teams justify the spend internally?

Two arguments do most of the work. The first is syndicated subscription renewals: a subscription with forty active readers across three business units defends itself, and one with two readers gets renegotiated. For organizations spending heavily on analyst and data subscriptions, the analytics alone often carry the case.

The second is avoided duplicate research. Catching one six figure study that was already run eleven months ago by another business unit covers the platform for the year. It happens more often than anyone likes to admit.
